What a corporate matchmaking event is

A corporate matchmaking event is the same format as a commercial one, applied inside an organisation. Instead of companies presenting to one another, it is departments, branches and teams presenting to each other, at tables, with controlled time and a change at every round.

The aim is not to sell. It is to make sure people know who does what, what each department needs and where the knowledge sits that they are looking for without knowing who to ask.

When the format pays off

It solves a specific problem: the company grew and people stopped knowing each other. The signs are recognisable.

  • There is more than one site or branch.
  • Part of the team works remotely or on a client's premises.
  • Departments duplicate work because they do not know what the other has already
  • done.

  • New hires take months to work out who to turn to.
  • Projects get stuck at the interfaces between departments, not inside them.

If none of those signs exists, the format is a party. If two or more exist, it has a measurable return in time saved.

How to build it, in practice

The design follows the same arithmetic as a commercial event. At a table with S seats, each person talks to S minus 1 people per round. With R rounds, they meet R × (S minus 1) people.

Example: 48 employees, tables of 6 seats. That is 8 tables and 5 new people per round. With 2 minutes of speaking, each round takes 12 minutes plus 2 for the change: 14 minutes. In 2 hours, 8 rounds fit, and each person meets 40 of the other 47. That is real integration in one morning.

Two rules specific to the corporate format:

Mix the departments at the same table. It is the opposite of what happens naturally. If the distribution leaves five people from sales together, the round served no purpose.

Separate hierarchy from speaking. Everyone speaks for the same length of time, from the intern to the director. It is that rule that produces the effect, and it is the first one people try to break.

What each person should say in two minutes

Give them a script. Without one, half the room introduces itself by job title and says nothing useful.

  1. Name, department and how long they have been at the company.
  2. What their department delivers, in one sentence, with no internal acronyms.
  3. One thing they solve that people usually do not know they solve.
  4. One thing they need from other departments and struggle to get.

Item 4 is what generates value. It turns the introduction into an ask, and an ask generates an answer.

Mistakes that spoil a corporate event

  • Running it at the end of the working day. Tiredness kills the format. A
  • morning works much better.

  • Letting departments sit together. The distribution has to be built, not
  • spontaneous.

  • Management speaking longer. It breaks the rule of equal time and the whole
  • room notices.

  • No continuity. With no next step afterwards, it becomes merely a pleasant
  • morning.

  • Too large an audience for the time available. With 120 people and one
  • hour, each one meets a little over ten colleagues. In that case, split it into groups.

What to record

The return on a corporate event appears in the following weeks, and it is only visible if you record it. At the end, collect from each participant:

  • two people they will seek out because of the event;
  • one problem they discovered another department already solves;
  • one suggestion for the next edition.

Three months later, ask how many of those conversations actually happened. That is the indicator that supports repeating the format.

How the tool helps

The operation is the same as any matchmaking event. In Rodada de Sucesso, the registration holds name, company, role, segment, category, interests and restrictions, and the list can be brought in by importing a spreadsheet with a check before saving, which is practical when HR already has the list in Excel.

The schedule is generated with zero repetition as a hard rule, and the system avoids putting colleagues from the same company at the same table, which in corporate use translates into avoiding colleagues from the same department together, provided the registration is filled in that way.

On the day, the operation controls speaking time, the interval and the table change, with audible alerts and a second screen projecting the round, the clock and the instruction. Attendance is marked quickly and incidents are recorded. If someone is absent, the minimal-adjustment recalculation redoes what is necessary without touching the rounds already held.

At the end, the reports carry attendance, conversations planned against held, table utilisation and how many people each participant met. It is the material you take to justify the next edition.

Integration does not happen through an internal memo. It happens when people sit opposite one another and have equal time to speak.
